Who we are

Braydon Trailers Ltd trading as BTP – Braydon Trailers & Powersports is responsible for the personal information we use to run our business and deal with you. We are registered in England and Wales, company number 14683899. Our registered office is Braydon Fields Farm Cottage, Braydon, Swindon, Wiltshire, SN5 0AG, United Kingdom.

Contact us about privacy at Office@btpsouthwest.uk, by telephone on 01793 239039, or by post to the address above. This notice covers btpsouthwest.uk, sales enquiries, purchases, trailer hire, servicing and repairs, valuations and related customer communications.

Information we use and where it comes from

We receive information directly from you through orders, forms, bookings, telephone calls, email, messages and visits. We also receive relevant information from payment and booking providers, suppliers or manufacturers handling an order or warranty, delivery providers, and marketplaces where you deal with us.

  • Contact and transaction details: name, email, telephone, billing and delivery addresses, order or booking references, items purchased or hired, payment status and correspondence. Payment providers process payment details through their own systems.
  • Trailer and vehicle information: make, model, year, registration or chassis details, mileage or hours, condition, service history, faults, photographs, ownership and VAT information supplied for sales, valuations, part exchange, hire, repairs or warranty work.
  • Hire verification: driving-licence, identity and address information reasonably needed to verify the hirer and manage the booking. Please do not send unnecessary identity documents or sensitive information.
  • Website and account information: account and shopping activity, device and browser details, IP address, pages visited, consent choices and information collected through cookies or similar technologies as described below.
  • Feedback and communications: enquiries, reviews, complaints and marketing preferences. Information you publish in a public review may be visible to others.

Why we use information and our lawful bases

  • Contracts and enquiries: to respond to a request, prepare a quotation, assess a valuation or part exchange, process a sale or hire, arrange payment and delivery, and provide servicing, repairs or warranty support. We rely on performance of a contract or steps you ask us to take before entering one.
  • Legal obligations: to keep required tax and accounting records, meet applicable registration or regulatory requirements, and respond to lawful requests.
  • Legitimate interests: to manage customer relationships and business records, protect property, prevent fraud, keep systems secure, investigate complaints and establish or defend claims, where these interests are not overridden by your rights.
  • Consent and marketing: where consent is required for optional cookies or electronic marketing, we rely on it. Where the law permits marketing to an existing customer or a business contact without fresh consent, we rely on the applicable marketing rules and our legitimate interest in promoting relevant BTP products and services. You can object or unsubscribe at any time.

Information needed to fulfil an order, check a hire or provide a requested service is necessary for that purpose; without it we may be unable to proceed. Optional marketing choices are separate from the service. Reading this notice or using the website is not, by itself, consent to every use of personal information.

Valuations and part exchange

We use the details and photographs you submit to assess your trailer or vehicle, contact you and keep a record of the enquiry. Authorised BTP staff review valuation requests through our dealer system and hosting services. The website form does not issue an automatic or guaranteed purchase offer. Any offer is subject to checks, inspection and BTP approval. Please contact us if you want to correct information or discuss an assessment.

Service providers and sharing

We share relevant information only where needed for the purposes described here, including with website and hosting providers, payment processors, booking systems, accounting and business-system providers, delivery companies, manufacturers and suppliers dealing with your order or warranty, and professional advisers. Our current website services include Shopify, IzyRent for hire bookings, Easify for product options, QuickBooks integrations and marketplace integrations where relevant to your transaction. We may disclose information where required by law or necessary to protect legal rights.

Some providers process information on our instructions; others, including payment providers and Shopify for certain services, have their own responsibilities and privacy notices. We do not give other merchants access to our customer records through Shopify Network Intelligence.

Shopify and personalised services

Our store is hosted by Shopify. Shopify collects and processes information about your interactions with the store to operate the service and, because Shopify Network Intelligence is enabled, to provide enhanced features such as personalisation, relevant advertising and understanding interactions with our store and advertisements. Information about activity on our store is shared with Shopify and relevant service partners, which may be in other countries. Shopify may combine it with information from interactions with other merchants and its services, subject to applicable law and consent choices.

Read Shopify’s Consumer Privacy Policy for Shopify’s own processing. You can exercise relevant rights, withdraw consent or object to certain Shopify uses through the Shopify Privacy Portal. Where applicable, you may also ask us to opt you out of processing regarded as sale, sharing or targeted advertising under local law.

Cookies and your choices

Cookies and similar technologies support essential functions such as security, shopping baskets and checkout. Optional technologies can remember preferences, measure website use and support relevant marketing. Where consent is required, you can accept, decline or choose optional categories through the cookie banner. Essential functions may continue without optional consent.

Use the Cookie preferences control in our website footer to review your choices. You can also contact us about withdrawing consent. Your choices are passed to Shopify through its consent tools for the services those tools control. Browser controls can remove or block cookies, but may also affect essential site functions. See Shopify’s cookie information for its technologies.

Google and Meta services

Our store has connected Google & YouTube and Meta Facebook & Instagram services. These can process website or transaction events for measurement, advertising and conversion reporting, using browser or server connections. The information and permissions involved depend on the service, your choices and applicable law. See Google’s Privacy Policy and Meta’s Privacy Policy for their processing and controls. You can manage optional cookie choices through our cookie preferences and contact us about marketing or privacy objections.

Marketing

You can unsubscribe using the link in an email or contact us at Office@btpsouthwest.uk. We will respect objections to direct marketing. Necessary messages about an order, booking, safety issue or service are separate from marketing preferences. We may keep a minimal suppression record so that we continue to respect your choice.

International processing

Service providers may process information outside the UK, including in the European Union and other countries where they operate. Where restricted international transfers require safeguards, we use or require a lawful mechanism, such as an applicable adequacy decision or approved contractual protections, as appropriate. Contact us for information about safeguards relevant to your data.

Retention and security

We keep information for as long as reasonably needed for the purpose for which it was collected, considering legal record-keeping periods, the life of an order or customer relationship, hire and warranty issues, and the time reasonably needed to investigate or defend claims. Enquiries and valuation photographs are retained only while needed to handle and record the enquiry or a resulting transaction. Marketing records are reviewed against current preferences, with minimal opt-out records retained where needed. Ask us about the period or criteria applicable to a particular record.

We use appropriate access controls and technical and organisational measures to protect information. No internet service can guarantee absolute security. Do not send payment-card details, unnecessary identity documents or unrelated sensitive information through general enquiry forms.

Your rights and complaints

Depending on the circumstances and applicable law, you may request access, correction, deletion, restriction or transfer of your information, object to processing based on legitimate interests, and withdraw consent. Withdrawal does not affect processing that was lawful before it. We may retain information where a legal obligation or other valid reason requires it, and we will explain a refusal or limitation.

Send requests to Office@btpsouthwest.uk. We may need proportionate information to verify identity. We normally respond within one month, subject to lawful extensions or other permitted adjustments, and will explain if more time is needed. Requests are normally free.

You can complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint or telephone 0303 123 1113. You may also have rights to complain to your local data protection authority. You do not have to contact us before making a complaint to a regulator, although we welcome the opportunity to resolve it.

Children and changes

Purchases and bookings involving junior products must be handled by an adult. We do not ask children to submit personal information for valuations or marketing. If you believe a child has supplied information unnecessarily, contact us so we can review it.

We update this notice when our services or practices change and revise the date above. We will provide additional notice or obtain consent where required; publishing an update does not itself authorise new uses requiring consent.
